Incomplete Grades

Step One:

Working Day 1

Student initiates Incomplete request.

The Student may

  1. Inform the instructor in writing.
  2. Inform the instructor in person.

Step Two:

Working Day 2

Instructor elects to award the grade of Incomplete.

The Instructor will

  1. Establish conditions to be met for removing an “I”.
  2. Determine the date that the “I” will be removed. **Please note that our policy requires the “I” be removed by the end of the next academic term after the “I” is assigned if the student is enrolled that term. The “I” must be removed at the end of the second term, regardless of whether the student is enrolled then or not.
  3. Complete and sign the Notification of “I” form.
  4. Forward Notification of “I” form to department Chair or School Director.

Working Day 3

The Instructor requests department approval.

The Chair/School Director will

  1. Sign and Approve or Disapprove Incomplete request.
  2. Retain the canary copy of the form.
  3. Return the buff and pink copy of the form to the Instructor.
  4. Forward the white copy of the form to the Dean’s Office.

Working Days 3-8

The Instructor notifies the Student.

The Instructor will

  1. Provide student with notice that (a) request for a grade of “I” is approved or disapproved, (b) the conditions established for the removal and (c) the date the “I” will be removed.
  2. If unable to notify the Student, forward the pink copy the Dean’s Office to be mailed to the student.

Step Three:

Established Deadline

Instructor determines if student has met conditions.

The Instructor will

  1. Initiate a change of grade by sending an emailed request directly to GradeAdjustment@gsu.edu. **Please note that the Registrar will automatically assign a grade of “F” when a change grade request is not submitted when the time limit has expired.
  2. Notify student of decision in writing or in person.

Deadline Petition

When a student wishes to have a deadline extended.

The Student will

  1. Initiate the request.
  2. Follow the steps in making a College-Level Academic complaint which can be found in the university’s website on grievance policy and procedure .
